About Marietta City Schools

Located in Marietta, Georgia, just northwest of Atlanta, Marietta City Schools serves approximately 12,000 students across 13 schools. The district’s facilities team handles a wide range of maintenance tasks—from HVAC and plumbing to custodial work.

Devlin Dennis, Executive Secretary to the Chief Operations Officer, oversees maintenance efforts across the district, with support from other department heads and staff. She sat down with the FlowPath team to share impactful realizations, specific use cases for her district, and favorite CMMS tools their team has applied since implementation over 2 years ago.

The Challenge

Before FlowPath, Marietta City Schools relied on a mix of handwritten notes and verbal communication to manage work requests to supplement their system, SchoolDude. Without an all-in-one system, it was difficult to track what had been completed and what still needed attention.

Field technicians had to print every work order, jot down notes manually, and return paperwork to a central secretary who would close out tickets. The process was clunky, paper-heavy, and time-consuming. Sometimes requests took up to 30 days to complete, which isn't ideal in any environment, especially in a school setting where staff and students look for reliability on campus.

In addition to maintenance inefficiencies, Marietta needed a better way to manage and track school events, custodial inspections, and interdepartmental communication.

How Marietta City Schools Uses FlowPath

Work Order Management:
Maintenance staff now receive, update, and close out work orders directly from their phones or Chromebooks. Using an all-in-one work order software has eliminated the need for paper and increasing accountability.

Event & Facility Scheduling:
Secretaries, athletic directors, and performing arts staff use FlowPath’s events module to coordinate all school events on a single district-wide calendar. This ensures everyone-from the superintendent to the communications team-has visibility into scheduled activities and required facility support.

Custodial Inspections & Preventive Maintenance:
FlowPath automates custodial inspection notifications and reporting, giving principals insight into cleanliness and areas needing improvement. The district is also working toward expanding preventive maintenance tracking for equipment like HVAC systems.

I do invoicing and reporting in the events module, and finance really likes that. I can show how much money the district has brought in for external facility use and how much we’ve paid out for custodial support. We even attached an online payment method that goes straight to finance, so they get their money within ten days of being invoiced.”

Onboarding: Seamless, Supportive, and Customized

Transitioning to FlowPath was remarkably smooth for Marietta City Schools, even with limited staff and partial paper records. The FlowPath team provided clear data templates and handled the heavy lifting: “I thought I’d have to sit for days doing data entry, but Kate gave us a template, and she handled the rest. It was so seamless.”

Despite challenges with gathering data from their outgoing vendor, Marietta compiled what was needed and fully transitioned to FlowPath in just six weeks.

“The transition from our previous system to FlowPath was very seamless-unlike what I thought it would be. With our old system, it took almost a year to get up and running. With FlowPath, the support team has truly been on top of things every step of the way.”

FlowPath’s onboarding also included hands-on, personalized support. “Kate and Brandon created a document so our custodial supervisor now gets notifications to complete custodial inspections. Those inspections include a scoring system, and once completed, the assistant principal or principal automatically receives a copy. I think it’s great that principals can now see how their school scored, how clean it is, and where there might be areas for improvement.”

Staff across the district-from custodians to secretaries-adapted quickly, thanks to FlowPath’s intuitive interface and responsive customer service. “The guys responded great to it. They were looking for something easier than having paper and a clipboard. Now, everything is tracked in FlowPath, and we have a record of what was done and how to fix it if it’s a repeat issue.”

Before FlowPath, event coordination was fragmented and often led to confusion, double-bookings, and missed details.

Now, secretaries, athletic directors, and performing arts staff all enter their events into FlowPath’s events module, ensuring that every school activity is visible on a district-wide calendar.

All of our secretaries use FlowPath for the events module. We’re working off one calendar for the district, so everyone can see all the events taking place on any given day. The superintendent will know if it’s something he wants to go to, or if our communications department needs to attend and take pictures. That’s been a big improvement.”

FlowPath’s customizable event forms require staff to specify needs like HVAC, lighting, custodial support, or special setups, so nothing falls through the cracks. This level of detail and transparency has not only improved communication between departments but also reduced the volume of follow-up calls and last-minute surprises.

By centralizing scheduling and resource requests, Marietta has created a more collaborative and efficient environment-one where everyone, from principals to maintenance, is always in the loop and ready to support each event’s success.

Looking Ahead

Marietta City Schools continues to expand its use of FlowPath to support long-term planning and preventive maintenance. With accurate maintenance history and centralized documentation, the district is now better equipped to make data-informed decisions about its facilities and preserve its assets.

Devlin Dennis shared how FlowPath’s new AI Assistant feature can help them access more FlowPath features with minimal legwork,  “I think that's going to be a great tool. So, I'm hoping that within the next year we could look at marking HVAC equipment and taking pictures, so we know what PM work has been done, and things like that.”

FlowPath has also made it easier to demonstrate the maintenance team’s impact to district leaders, providing clear visibility into trends, needs, and resource allocation. “The reports are really telling what [the maintenance] guys are doing, who is getting the most work orders, and things like that,” Devlin explained. “Finance really likes that I can show how much money the district has brought in for external facility use and how much we’ve paid out for custodial support. It’s been a better fit for us financially.”
